How Solwit solutions help organise the work of 2500 employees in one of the largest retail chains in Latvia

Task

Before working with Solwit, Mego used a proprietary system to manage payroll and HR, but over time the system had become outdated and impractical and expensive to maintain. For this reason, Mego started looking for an off-the-shelf ERP solution and this is where Mego and Solwit started working together. The main requirement for the ERP system was to be able to “quickly and painlessly” migrate from the old solution to the new one. In addition, when choosing a software provider, it was important to Mego’s management that the provider had experience with retail companies with similar staff sizes.
Solwit ERP proved to be suitable for an efficient and quick transition. Solwit also has experience with retail customers. In particular, when we started working with Mego, our customers already included top! and Rimi.
In addition to the Payroll & HR product, Mego was also interested in the HR Portal, a product that simplifies internal communication between employees, department managers and HR. Of all the features offered by the product, the most useful was the ability to automate timesheet changes and scheduling, as well as to create thousands of employee timesheets.

Implementation of the Payroll and HR products with HR portal with further customisation to the client’s business processes.

We have been happy to work with Solwit for a year now – employees at all Mego branches appreciate the HR Portal because it has made communication much easier on topics such as shift planning and coordination. Now we no longer have to worry about the administrative difficulties that can arise when recruiting a large number of employees when opening a new store.

Highlights of the project

Importing data from a previously used system

Previously, Mego used an outdated system of its own design that had become impractical to maintain over time. The import was carried out using data transfer templates created by Solwit.

Import of tax information from EDS, and in particular import of open sick notes from EDS

This feature automates 90% of the work with sick leaves in the ERP system and helps to calculate salaries correctly taking into account overtime.

Recalculation of overtime in the previous month

A function that is vital given the number of employees in the sales network. It helps to calculate overtime correctly, including the calculation of open sick leave.

Bookmarks

Export of accounts to an external accounting system developed in-house. The accounts are pre-distributed by the required analytical cuts. Import of executions.

As well as...

  • Improvements to the algorithms for calculating night-time working hours in the light of current legislation.
  • Automatic creation of document printing forms based on information available in the system. The introduction of this function reduced manual work by 86%.
  • Accounting for different types of additional leave with automatic calculation of compensation (if necessary).
  • The system allows the creation and editing of staff work schedules. Editing of the work schedule can be done within one month.
  • The timesheets are created automatically on the basis of the created timesheets.
  • Sick leaves are instantly reflected in both the timetable and the timesheet.
  • The data for the timesheets is immediately transferred to the “Payroll” module – this is necessary for correct payroll calculation.
  • In your personal account, you can create a leave application and send it to your manager for approval. You can view your payslips in your personal account.
